Post Soliciting Donations

There are many places that will donate things to causes. Coffee, food, art supplies etc...stuff that would really benefit those staying over night especially. However, most of them usually require a letter on letter head. Is there anything we are currently using for this? Or any thoughts or suggestions?

What do you mean, just mailing or emailing business/groups for support?

To clarify, there are places that will donate things to help- food, supplies etc. For example, I run a woman's program- A constant client need is clothing for their children. I went and found some great places to donate these items. However they often ask for a letter from the NPO I work for, asking for the donation- usually on letter head.I was wondering, if a company wanted to donate something but required such a letter, what people thought about submitting a document on behalf of a whole movement. Should a template be developed? Should the individual seeking donations write it themselves? I dunno it's a pretty common practice, sorry if I was not articulate enough.
